With the "Send If Approved" plugin you can control sending outgoing messages and have them sent only after approval, e.g, a message is sent only after being reviewed by another person.
Send If Approved is an add-in for Microsoft Outlook 2007, Outlook 2003, Outlook 2002 (XP), and Outlook 2000.
You are here: Plugins for Microsoft Outlook Message processing Send If Approved
The Send If Approved Outlook add-in allows you to control outgoing messages and send them only after approval. It can move all (or certain) outgoing e-mails to a specific folder instead of immediate sending. The messages will be sent only after being reviewed and approved by a competent person.
This plug-in is absolutely indispensable during a training period of new employees who work with clients via email. The plugin is also helpful in a daily routine when a message must be sent only after being reviewed by another person. And, on basis of this addin you can build up a system where a message goes though a number of employees and each of them makes necessary changes before the message is sent to the recipient.
The add-in's work is based of Microsoft Outlook rules and can be applied either to all outgoing messages or to the messages that meet specified criteria. Your employees can decide themselves which messages need verification and which must be sent immediately.
Please make sure the Send If Approved is enabled.
After you install the MAPILab Toolbox, go to "Tools" -> "MAPILab Toolbox" -> "Options" and make sure the checkbox of the plugin is checked.
The Send If Approved plugin enhances the Rules Wizard of Microsoft Outlook. After enabling the plug-in, in the Rules Wizard, you can select an option to place messages for approval before sending them. Open the Rules Wizard (Tools --> Rules and Alerts) and click the New Rule button. In the appearing window, select the "Start from a blank rule" option, and then select "Check messages after sending in order to process outgoing messages". After that click the Next button:
On the next step of creating the rule, choose exactly what outgoing messages are to be processed. In our case messages sent though a certain mailing account must be forwarded for approval. Check the "Sent through specified account" option and select the necessary account by clicking the link at the bottom of the screen:
After that you are prompted to choose the action with the processed messages. In order to select the Send If Approved plug-in, check the "Perform a custom action" option. Then click on the link at the bottom of the screen and select the necessary action - MAPILab Custom Action, and click the "Change for configuring the required action" button. In the new dialog window select "Send if Approved" in the drop-down list and click Options for setting the add-in parameters:
In the settings window of the plugin, select the folder that outgoing messages processed by this rule are to be placed into:
The rule is almost ready. Also you can configure an exception to this rule on the next step of rules wizard. Enter the rule name on the last step of the wizard and click Finish to add the rule to the list:
Now, when the Send button is clicked and a certain mailing account is selected, the message will be placed in the specified folder for further approval by a competent person.
Note: When Microsoft Exchange Server is used, a supervising person must have "Send as" permission in order to send messages on behalf of other users. Please, learn more about the setting of "Send as" permission.
You can get this addin as a part of the MAPILab Toolbox for Outlook - 18 handy plugins for Outlook.
